Frequently Encountered Problems
You may request your student number and/or active PID to be sent to you via email, sent to email@example.com. You must include your full legal name, last four digits of your social security number, the month and year you were born, your approximate terms of attendance at Virginia Tech, your major, and any degrees that were awarded in your email request. Students who have marked their records as “confidential” must submit this information in writing.
You may reactivate your PID at https://my.vt.edu/accounts/new/pid. Student ID numbers and PIDs will not be released over the telephone.
If you do not have a PID you may initiate PIDs at https://my.vt.edu/accounts/new/pid.
Your HokieSpa account will reflect a completion date once your order has been processed and mailed from our office. Please log on to your HokieSpa account to check if your order has been processed.
When ordering your transcript in HokieSpa you must click the button indicating you have an attachment when your order is placed. Failure to do so may result in your transcript being mailed without your attachment.
Attachments may be submitted by mail or email. Please email copies of attachments to firstname.lastname@example.org. Be sure to include your full name and student ID number and/or transcript transaction ID number in your email or mailed letter so that your attachment can be matched to your order. Failure to do so may result in your transcript being mailed without your attachment. Attachments must be provided after transcript orders have been placed and paid for; the Office of the University Registrar cannot hold attachments for orders that have not been placed.
No, Virginia Tech does not offer any digital, electronic, or pdf copies of transcripts. If a third party requires a digital, electronic, or pdf copy of a transcript, students may place an order to be delivered directly to the student. Once the transcript is received the student can then scan and upload a pdf copy themselves to the third party.

Orders that have had an attachment hold placed will always reflect that a hold was placed. If you have questions regarding if your attachment was received you may inquire by phone or email to email@example.com.
If your HokieSpa account is showing a completion date on your transcript order, it has been thirty days since the completion date, and you or your third party have not received your order, please contact our office. Please have the mailing address for your order available as well as your student ID number when inquiring.
NOTE: if you have had a name change since attending Virginia Tech and your order is not received as a result of this name change, Virginia Tech will not be able to refund or reissue transcript orders. Be sure to make an official name change with our office if you are having any type of record mailed to ensure they are received and processed by the correct party.
If you have an active PID and your password needs to be reset you may contact the 4-HELP desk at 540-231-4357 to have your password reset.
Third parties may pick-up a transcript order for a student if the student provides the “Authorization to Pick up Official Documents” form to our office. This form requires an original signature and will need to be provided prior to the third party pick-up. The third party is required to bring a valid photo ID. This authorization form is located on the University Registrar webpage: https://my.vt.edu/accounts/new/pid.
Transcripts are mailed via first class mail through the US Postal Service. The Office of the University Registrar cannot track any transcript orders mailed from our office. We cannot estimate shipping times or arrival times of transcripts. Students who have deadlines are recommended to order their transcripts at least THREE weeks in advance (SIX weeks for international orders) to allow for ample processing and shipping time.
No, your transcript from Virginia Tech will contain your entire academic record and cannot be divided or have any information omitted.
Your unofficial transcript will never reflect any degrees awarded. If your degree has been conferred it will be reflected on your official transcript.
All official transcripts will be sealed inside an envelope. If your order is being issued directly to the student, each copy will be initialed and stamped on the inside as “Transcript Delivered Directly to Student in a Sealed Envelope”, and the outside of the envelope will be initialed and sealed. Student issued transcripts will each be sealed inside individual envelopes. If you order is being issued to a third party, the transcript will be initialed on the inside, and sealed inside an envelope with an enclosed letter to your third party. Multiple transcripts being mailed to the same third party will be in one sealed envelope.
Virginia Tech transcripts will only show the number of credit hours transferred from an institution, or the number of credit hours accepted from AP credit. These courses are not considered Virginia Tech courses, and cannot be reflected on a transcript.
